LINK Ambassador Summit – Policies, Waivers & Agreements 

Privacy Policy 

At the LINK Ambassador Summit, hosted by Champion Forward at Trinity View Farm, we respect your privacy and are committed to protecting your personal information. This policy explains how we collect, use, and safeguard your information. 

Information We Collect 

  • Contact details you provide during registration (name, email, phone number, address). 

  • Emergency contact details. 

  • Photos, videos, or testimonials voluntarily shared or taken during the event. 

  • Payment and billing information. 

How We Use Your Information 

  • To manage your event participation (registration, communications, scheduling). 

  • To ensure health, safety, and emergency preparedness. 

  • To share updates, materials, or follow-up communications after the event. 

  • To promote Champion Forward and its programs (with your consent for media use). 

Sharing of Information 

We do not sell or rent your personal information. Information may be shared with: 

  • Event staff, volunteers, and contractors as needed for safety and logistics. 

  • Emergency personnel, if necessary for your well-being. 

  • Third-party service providers (e.g., registration software, payment processors). 

Your Rights 

  • You may request access to, correction of, or deletion of your personal information. 

  • You may opt out of receiving non-essential communications at any time. 

Liability Waiver & Assumption of Risk 

I, the participant, acknowledge and agree to the following regarding the LINK Ambassador Summit: 

1. Assumption of Risk 

I understand that participation in outdoor events and activities carries inherent risks, including but not limited to minor injuries, slips, falls, illness, or unforeseen circumstances. I voluntarily assume all risks associated with participation. 

2. Release of Liability 

I hereby release and discharge Champion Forward, Trinity View Farm, its directors, employees, volunteers, sponsors, and affiliates from any and all claims, liability, damages, or expenses arising from my participation in this event, whether caused by negligence or otherwise, to the fullest extent permitted by law. 

3. Medical Treatment 

I consent to receive medical treatment deemed necessary in the event of injury, accident, or illness during the event. I understand I am responsible for all costs associated with such treatment. 

4. Compliance with Rules 

I agree to follow all event rules, instructions, and safety guidelines provided by event staff. 

5. Acknowledgment of Understanding 

I have read this waiver fully, understand its terms, and acknowledge my agreement by participating in the event. 

Photo & Media Release 

I hereby grant Champion Forward and its representatives the right to take photographs, video recordings, and/or audio recordings of me during the LINK Ambassador Summit at Trinity View Farm (November 21–22, 2025). 

I authorize Champion Forward to use, publish, and distribute such media for the purposes of: 

  • Event promotion and recaps. 

  • Marketing, social media, and website content. 

  • Educational and training materials. 

 I understand that: 

  • I will not receive compensation for use of these images or recordings. 

  • Media may be edited, copied, exhibited, or distributed at Champion Forward’s discretion. 

  • My consent is voluntary, and I may revoke it in writing at any time (not retroactively). 

Non-Disclosure Agreement (NDA) 

As a participant of the LINK Ambassador Summit, I acknowledge that I may be exposed to confidential or sensitive information during the course of the event. This may include personal stories, organizational strategies, research, intellectual property, or other proprietary materials shared in sessions, discussions, or activities. 

I agree to the following terms: 

  • I will not disclose, reproduce, or distribute any confidential or sensitive information obtained during the event, unless given explicit written permission by Champion Forward or the individual who shared it. 

  • I will respect the privacy of other participants and maintain confidentiality around their shared experiences, discussions, or contributions. 

  • I understand that this obligation of confidentiality extends beyond the conclusion of the event and remains in effect indefinitely. 

  • I acknowledge that violation of this agreement may result in removal from the event and/or further legal action if necessary. 

By participating in the LINK Ambassador Summit, I agree to uphold the confidentiality and integrity of all sensitive information shared. 

This agreement shall be governed by and construed in accordance with the laws of the State of Tennessee. Any disputes arising out of participation in the LINK Ambassador Summit shall be subject to the exclusive jurisdiction of the courts located in Williamson County, Tennessee. 

At Champion Forward, we are not mental health professionals, but we exist to help athletes, parents, and coaches grow stronger mentally, emotionally, and relationally.
